# How to share a report view

> Saved report presentations shared with existing Risk Portal users, including Read, Write, and Share controls, recipient view selection, direct-grant removal, and separate report-data access requirements

Applies to report grids with **Views** and **Share view** controls.

Sharing a saved view makes its presentation available to another Risk Portal user.
The shared settings include columns, grouping, sorting, and filters.
Recipients still require separate access to the report, portfolio, and relevant market data.

## What is required before sharing?

* A named [saved report view](../edit-a-report/save-a-report-view) containing the intended settings.
* Sharing permission for that view.
* The recipient's existing Risk Portal username or email address.
* Recipient access to an applicable report using the same report definition.

Save pending presentation changes before sharing.
Sharing uses the saved version and does not automatically save current edits.
Review saved filter values before making the presentation available to others.

## How to share with an existing user

1. Open the report containing the saved view.
2. Select **Views** beside the grid.
3. Select the named view.
4. Select **Share view**. **Share Settings** opens for that entry.
5. Select **Add User**. The **Invite Someone** dialog opens.
6. Enter the recipient's username or email in **Username or Email**.
7. Select **Confirm**.

Verify that the intended recipient appears in the permission list with **Read** selected.
New recipients initially receive Read access to the view.
The action does not send an invitation email or create a public report link.

8. Select **Close** after checking the displayed permissions.

Use the existing recipient row for later permission changes.
Adding the same user again resets that user's direct grant to Read only.

## How does the recipient open the view?

1. Open an accessible report using the same report definition.
2. Select **Views**.
3. Select the shared view's name.

Verify that the intended presentation is applied.
Available data remains subject to the recipient's own report and portfolio permissions.
The shared presentation does not guarantee identical visible rows or values.

## What do the permission controls allow?

| Control | Capability and effect |
| - | - |
| **Read** | Allows use of the saved view. Clearing it also clears the direct Write and Share grants. |
| **Write** | Allows changes to the shared saved view. Enabling it also enables Read. Clearing it also clears the direct Share grant. |
| **Share** | Allows management of the view's sharing permissions. Enabling it also enables Read and Write. |

Checkbox changes are submitted immediately.
Wait for the permission list to refresh and verify the resulting values.
Closing the dialog does not discard successful permission changes.

Grant **Write** only when changes to the shared presentation are intended.
Those changes affect the saved view used by other authorized recipients.

## How to remove a direct user grant

1. Open **Share Settings** for the saved view.
2. Locate the intended user's permission row.
3. Clear **Read**.

Verify that the user's direct Read, Write, and Share grants are cleared after refresh.
Access granted through the organization or other policies can remain.
Removing this grant does not delete the saved view or revoke separate report-data permissions.

## What can prevent sharing or access?

| Observation | Next step |
| - | - |
| **Share view** is absent. | Select a named view and check sharing permission. Save a new view before sharing a customized Default presentation. |
| The recipient cannot be found. | Check the existing user's username or email address. This action does not register a new account. |
| A sharing error appears. | Read the message and check the refreshed permission values. |
| The recipient cannot open report results. | Ask the administrator to check report, portfolio, and market-data access separately. |

Use [Export to Excel](./export-to-excel) when a workbook is required instead of a reusable presentation.
